rarescale Data Protection and Privacy Policy
Our data protection and privacy policy sets out the types of personal data we may collect from you when you engage with rarescale, for example by subscribing to our mailing list, buying a ticket for one of our concerts or signing up for our summer school, and how this personal data will be held and used by rarescale.
This data protection and privacy policy will be updated periodically to reflect changes in data protection legislation and we will notify any significant changes to our mailing list. We will collect, hold and use personal data in accordance with the version of this data protection and privacy policy current at the relevant time unless you notify us that you wish to unsubscribe, in which case we will delete your personal data from our systems and records. Please note that, in this instance, we will be unable to contact you to let you know about our events and news.
When do we collect your personal data, what do we collect and why?
We collect personal data in the following circumstances:
• If you subscribe to our mailing list, we collect your name, contact details and information regarding the types of communications you wish to receive (e.g. whether you wish to receive details about concerts, our summer school, rarescale Flute Academy, etc.). This enables us to contact you in the circumstances you have requested.
• If you apply to join rarescale Flute Academy, we collect your name, contact details and information regarding your approximate playing ability. This enables us to contact you to let you know about rehearsals and concerts and to manage the group.
• If you sign up to attend our summer school, we collect your name, contact details, emergency contacts and details on any special requirements, as well as your level of experience. This enables us to contact you with information about the arrangements for the summer school and to programme the sessions to take account of participants' ability/experience.
• If you buy a ticket to one of our events, we may collect your name and contact details. This enables us to verify ticket purchases on the door and to provide updates in the event of a change to the event.
For how long do we keep your personal data?
We retain your personal data in the following circumstances:
• If you subscribe to our mailing list, you consent to being contacted in relation to the types of communications you have indicated and we therefore retain your personal data until you advise us that you wish to update your contact details or preferences (in which case old contact details or preferences will be deleted) or to unsubscribe (in which case all your personal data will be deleted). If we do not retain your personal data, we will not be able to contact you as you have requested.
• If you apply to join rarescale Flute Academy, you consent to being contacted in relation to rarescale Flute Academy activities and we therefore retain your personal data until you notify us that you no longer wish to be contacted in relation to rarescale Flute Academy, after which time your personal data collected in relation to rarescale Flute Academy will be deleted. However, we will not delete personal data held other than in connection with rarescale Flute Academy unless you request this as set out in this policy.
• If you sign up to attend our summer school, we retain all your personal data collected in connection with the summer school until after the summer school ends so that we can fulfil our contract with you, at which time we will automatically delete all personal data collected in relation to the summer school other than your name and contact details. We will also delete your name and contact details at this time unless you have requested to receive information about, or granted consent for us to contact you in relation to, future summer schools, in which case we will retain your name and contact details until you notify us that you no longer wish to be contacted in relation to our summer schools, after which your name and contact details will be deleted. However, we will not delete personal data held other than in connection with our summer schools unless you request this as set out in this policy.
• If you buy a ticket to one of our events, we retain your personal data until the event has concluded, after which time your personal data collected in connection with your attendance at the event will be deleted. However, we will not delete personal data held other than in connection with the relevant event unless you request this as set out in this policy.
Who do we share your personal data with?
Your personal data is protected as follows:
• Our mailing list is held with Mailchimp, and their privacy policies can be found here The Artistic Director has the sole access to this mailing list.
• If you attend our summer school, your data is held by the Artistic Director and some information (name, dietary requirements, gender, and other information as required by the venue) is shared with the venue to help with appropriate room allocations. Your name and level of experience will also be shared with other course tutors to enable them to programme their sessions appropriately.
• For members of rarescale Flute Academy, a list of members and membership status (which does not include any contact details or any other information) is held by the Artistic Director. Contact details are held within Mailchimp, as described above.
• Online ticket sales are usually handled via a third party company, such as Eventbrite. Please check the data protection policies of the relevant company at the time. A list of names is supplied to the venue, and any records sent to rarescale from the third party company are held temporarily in the Artistic Director’s Gmail account.
• All rarescale files are held by the Artistic Director only, on a personal computer and backed up in Dropbox storage.
What are your rights regarding your personal data?
You have a right to know what personal data we have and you are entitled to ask to be deleted from our database or update your preferences at any time. If you wish to update any personal data held by us, request deletion of personal data held by us or request a copy of the personal data we currently hold on you, please contact us via the form on our website. We will respond to requests within a month of their receipt.
